Knowledge is Power
How a knowledge management system can improve operations.

Change is a constant in the accounts
receivable management industry. On any
given day, an organization may need to
change a process due to a new regulation,
revise a workflow due to a client
update or communicate a new policy to
staff. The continuous process of sharing
knowledge to keep employees informed is
not a simple task. Add in a remote work
environment and there is an increased
risk of employees not being able to find
the information they need to perform
their job.
After adjusting to a remote work environment,
the leadership team at BCA Financial
Services Inc. (BCA) in Miami identified
an area of improvement in the delivery
and organization of the abundant information
being provided to its workforce. In
response, BCA created a project team to
design a centralized, searchable knowledge
hub to provide its workforce with fast,
direct access to information necessary to do
their jobs efficiently.
Knowledge management systems are not
new, but they have become more common
as organizations adapt to remote work
environments. A knowledge management
system encompasses any kind of information
technology system designed to help
store, organize and ensure easy retrieval of
information. There are many kinds of these
systems with limitless possibilities. When
researching where to host one, it's important
to evaluate the needs of your organization
and how specific features can help you
achieve your goals.
With a company intranet already
in operation through Microsoft SharePoint,
BCA chose to design its knowledge
management system with the same program.
The first category of information
we transferred to the new system
was client material. Information can
certainly vary by client but having
a standard layout to use for all clients
streamlines the process, and the

uniformity creates simple navigation.
Grouping similar data into one page
and employing links, text anchors and
navigation menus further helps us find
information quickly and easily.
SharePoint also has a robust search feature
so we can immediately locate a specific
topic or answer. BCA set out to create a
knowledge management system where users
could find answers to their questions in
three clicks or less.
WHY WE WANTED ONE
There are numerous benefits of a
knowledge management system, both for
remote and physical work environments,
but BCA has benefitted the most from
the following.
* Provides Instant Answers
to Questions
In a remote work environment,
employees don't have the luxury
of asking their co-worker for an
answer to a question or calling
over their supervisor. Sending a
question via email or instant
message can cause a delay in
receiving the answer, which is not
ideal when a consumer is on the
phone or when a task needs to be
done quickly. A knowledge management
system provides instant
answers to questions so work can
be done faster and productivity,
performance and consumer
satisfaction will increase.
* Creates a Single Source of Truth
An organization may have multiple
forms of documentation that
contain duplicate data, making
information difficult to find and
updates more tedious. In BCA's
case, client documentation consisted
of client summaries, participant
guides and client implementation
guides. The knowledge management
system creates a single source
of truth where employees can
access the right information at
the right time and content can
be updated easily.
* Improves the Employee Experience
It's frustrating when you can't find the
resources necessary to perform your
job. A knowledge management system
with resources that are easily accessible
can lead to improved job satisfaction
and confidence.
